Terms and conditions of participation
in the IX Symposium ProGEO
Chęciny, Poland, 25-28th June, 2018
§1. The Symposium is a scientific event. The substantial level of the debate depends on the Participants.
§2. The Symposium Office (e-mail: email@example.com) is located in Warsaw, at Faculty of Geology University of Warsaw, ul. Żwirki i Wigury 93, 02-089 Warszawa, Poland, Tel. +48 22 55 40 400, Fax. +48 22 55 40 001 (www.geo.uw.edu.pl).
§3. The Participant declares her/his participation in the symposium by registering in the conference system at www.conference-eceg.pl.
§4. The Participant confirms her/his participation in the symposium by incurring payment either with a payment card (PayU) or by bank transfer.
§5. The symposium currency is Polish zloty (PLN).
§6. Conference fees, presented at www.conference-eceg.pl, are as follows:
Section 6.1. Registration fee
1 Includes the Symposium Handbook and materials; Icebreaker party; full board (3 meals per day); coffee breaks and refreshments; conference shuttle bus; and a bus transfer to events during session days (VAT included).
2 Includes all items mentioned in point 1, except of the Symposium Handbook and materials.
Section 6.2. Accommodation fees during session days
1 VAT not applicable.
2 VAT and breakfast included in the room price.
3 The rooms are of tourist standard, with same facilities available; rooms in C-buidling are larger.
Section 6.3. Pre-symposium field trip fee*
* Includes accommodation price per person per two overnights: 23rd/24th June (arrival day) and the 24/25th June, 2018; full board (three meals per day), transfer, paid entrances, English-speaking guided tour, refreshments, and VAT.
Section 6.4. Post-symposium field trip fee*
*Includes accommodation price per person per two overnights: 29th/30th of June and the 30th of June/ 1st of July, 2018; full board (three meals per day), transfer, paid entrances, English-speaking guided tour, refreshments, and VAT. Price for the night 28/29th June, 2018 (before the field trip) is not included.
*Includes the transfer to/from the Ethnographic Park in Tokarnia, English-speaking guided tour, Folk group performance, dinner, and VAT.
§7. 15th of February, 2018 is the deadline for early registration and payment of conference fee with reduced rate. 30th of April, 2018 is the deadline for regular registration.
§8. 15th of March, 2018 is the deadline for abstract submission. 30th of April, 2018 is the deadline for final acceptance of abstracts. We encourage Participants to submit their abstracts as early as possible.
§9. The conference fee may be made either with a payment card (PayU) or by bank transfer.
§10. Participants (or institutions) paying by bank transfer have to cover all the relevant bank charges.
§11. Exchange rates to PLN are applied on the day of the payment.
§12. An invoice will be issued upon request only; no later than 3 weeks after receiving the payment. Participant should request her/his invoice (and provide relevant data) following the steps given in the on-line registration form.
§13. If Participant is going to pay the conference fee from her/his private account and wants the invoice to be issued for an institution, we will request her/him to send us (by e-mail) consent from the institution.
§14. To request a cancellation of participation in the symposium, or to make a change please send an e-mail to the Organizers at firstname.lastname@example.org
§15. Cancellations made until the 15th of May 2018, incur no charges and a full refund will be issued. Cancellations made on, and after, the 16th of May until 15th of June 2018 will be refunded at 80% of the conference fee. Cancellations requested on, and after, the 16th of June 2018, as well as non-attendance, will be charged in full and no refund will be made.
§16. If the Organizers cancel one of the field trips (due to organizational reasons), the Participant is entitled to a full refund of the field trip cost.
§17. If the ConferenceDinner and Cultural Event is cancelled by the Organizers (due to organizational reasons), the Participant will be refunded the full cost of the Event.
§18. In case of refunds mentioned in the paragraphs from §15 to §17 refunds will be transferred to the card or bank account from which the payment was received; and bank transfer charges and the exchange rate differencewill be covered by the Participant (or institution which made a payment).
§19. All refunds will take place nolater than three weeks after the end of the symposium.
§20. All complaints and reclamations will be considered by the Organizing Committee no later than four weeks from receipt of the complaint.
§21. All amendments and supplements to this document must be made in writing or otherwise they will be null and void.
§22. The provisions of the Civil Code and other laws will apply regarding issues not governed by this Document.
§23. According to the Act of 29.08.1997 on the protection of personal data (Journal of Law no 101, 926 with amendments), all personal data of the Participant provided on-line will be in the possession of the University of Warsaw, located in Warsaw, ul. Krakowskie Przedmieście 26/28, Tax ID 525-001-12-66, REGON 000001258 for the purpose of fulfilling this Contract. Providing this data is voluntary, but compulsory for the participation in the symposium. Participants have the right to access and amend their personal data.
